Admissions marketing for independent schools · The School Admissions Engine

From awareness to enrolment.

Most school marketing stops once parents have seen you. Mine follows every family from their first search to a signed acceptance, and keeps them talking about you once their child has started.

Why now

Fewer families, harder decisions

With fewer families in the market, a beautiful website and an active social page are not enough on their own. That's hope, and hope is not a strategy. The schools that grow make sure good-match families are guaranteed to see them, are found when parents ask Google or an AI assistant, convert more of the enquiries they already get, and keep the families they have.

30,000

fewer pupils at UK independent schools since VAT on fees, 20,000 of them in the past year.

5%

fall at preps and primaries, the schools with the smallest marketing teams.

100+

independent schools closed since VAT was introduced.

The parent journey

A digital step and a personal touch at every stage

Parents aren't choosing a term. They're committing seven to fourteen years of their child's life. So every stage pairs something digital with something human from your admissions team, and no interested family slips away between enquiry and enrolment.

  1. 1 · Decides to look

Digital: search, paid search and social, aimed at each family you want to reach.

Personal: your teachers in the local press as the voices of good education.

  2. 2 · Compares options

Digital: website pages written for each family's situation, not one page for everyone.

Personal: short videos from your Head and teachers.

  3. 3 · Wants to find out more

Digital: a genuinely useful parent guide, in exchange for an email address.

Personal: a phone call from admissions offering a visit.

  4. 4 · Weighs the decision

Digital: about ten nurture emails: teachers, parent stories, worries answered.

Personal: a tour, a taster day, a meeting with the Head.

  5. 5 · Applies and pays the deposit

Digital: a simple application with timely reminders.

Personal: follow-up calls and a welcome gift.

  6. 6 · Becomes your ambassador

Digital: parent emails, review and referral prompts.

Personal: events and small surprises worth talking about.

Admissions is a lot like dating.

Four pages on the six stages every family goes through before they commit to your school, where most schools lose them, and what each stage is worth to you. Then six short chapters, one a day, from the desk of Olivia.

Where growth comes from

The families you're not reaching yet

Most schools compete harder for the same shrinking pool. The growth is often with families whose needs aren't met elsewhere, and whose search your marketing doesn't yet speak to.

Relocating families

Choosing a school from abroad, often unseen.

Children who learn differently

Bright children getting lost in large classes, whose parents want them known by name.

Home-educating families

Looking for facilities, friendships and exam access, part-time.

Families at a transition year

Deciding whether the step up to senior school is worth the higher fee.

International boarders

A longer decision, best reached once the local journey is working.

Your current parents

Every family that stays is a place you don't need to refill. Retention is admissions too.

Confidence

"Will the school still be here?"

When parents doubt a school's future, nothing else they read gets through. I help you answer the question directly and tell the true story of a school built to last: the decisions made, the investment done, the momentum that follows.

Your teachers' voices

Parents choose teachers

Your staff become the recognised voices on education in your area: articles and posts drafted for them to approve, press features, and content reused across your website and emails. Staff opt in and approve everything published in their name.

Results

A third full to fully enrolled, in one year

An independent boys' prep school in Johannesburg had a weak early-years intake in a competitive, shrinking market. I led the strategy that rebuilt its parent journey.

21 of 66

Reception places confirmed at the start of the year

66 of 66

confirmed at the same point a year later

115

registrations for the following intake

  • 225,575 parents reached in the school's catchment area
  • 7.87% of website visitors signed up for the parent guide
  • 55% open rate on the nurture emails
  • 31 pieces of print, broadcast and online coverage from 5 press releases

The digital journey found and nurtured the families; the admissions team turned that interest into enrolment through calls, tours and open days. I'd build the same personal touches into your process.

How I work

Built with AI. Led by me.

I'm upfront about it: AI drafts the guides, emails, pages and reports, so work that takes an agency weeks takes days. That's how a full admissions programme costs a fraction of an agency retainer.

I set the strategy, check every word, and your team approves before anything goes out.

"Won't it sound like AI?"

Not if it starts with your school. Before anything is written, I build a brand and voice kit from what you already have: your crest, colours and fonts, your values and motto, your prospectus, and the way your Head speaks to parents. Every guide, email and page is made from that kit, uses real photos of your pupils and campus (any AI imagery is used sparingly, only where it looks natural, and never of pupils without consent), and is edited by me before your team sees it. Parents should hear your school, not a machine.

What I deliver

  • A brand and voice kit built from your school's existing look, values and voice, so everything sounds like you
  • An admissions journey audit, from first search to signed acceptance
  • Website pages for each type of family, and out-of-date content refreshed
  • Parent guides, landing pages and email nurture sequences
  • Paid search and social campaigns, with retargeting
  • A simple follow-up workflow so no enquiry is missed, and your admissions team trained to run it
  • Monthly reporting on enquiries, visits, applications and enrolments, not clicks

  3. Step 3 · monthly

    Admissions Engine

Your Head's voice note becomes the monthly newsletter, blogs and posts; campaigns and sequences are tuned; one report shows enquiries through to enrolments.

Questions people ask

Admissions questions, answered

What Heads, Bursars and Registrars ask me most.

How can an independent school increase enrolments?

Most schools grow fastest by converting more of the enquiries they already get, not by buying more awareness. That means answering every enquiry within 24 hours, following up after every visit, nurturing families until they are ready, and keeping current families through each transition point.

Why do we get enquiries but not enrolments?

Families usually drop away between the enquiry and the decision: a slow reply, one call then silence, or no follow-up after an open morning. Mapping the six stages of your parent journey with last year's numbers shows exactly where your biggest leak is.

What is an admissions journey audit?

An admissions journey audit looks at every step a family takes, from first search to signed acceptance. It covers your enquiry process, website, visits and follow-up, and ends with a short plan that shows where families are lost and what to fix first.

How do you use AI with pupil and family data?

I don't. No pupil or family personal data is ever put into an AI tool, and AI is never used to create images of children. AI helps with drafting and production only, and every piece is checked by me and approved by the school.

How long does it take to see results?

Faster replies and better follow-up can lift visits within weeks. Enrolment decisions follow the admissions cycle, so the full effect usually shows over a year. At one Johannesburg prep school, Reception went from 21 to 66 confirmed places out of 66 in twelve months.

Do you work with prep schools and schools outside the UK?

Yes. I work with independent prep and senior schools in the UK, the Isle of Man and South Africa, and the approach suits schools recruiting international and relocating families too.
