Who I am

This policy explains how I, Olivia Wallis, look after the personal information you share with me through oliviawallis.com, my emails and my discovery calls.

I'm a self-employed marketing consultant based on the Isle of Man, and I'm the controller of your personal information. That means I decide how it's used and I'm responsible for keeping it safe.

If you have any questions about this policy or your information, email me and I'll reply personally.

What I collect and how

When you ask for one of my free guides, I collect your first name, your email address and your consent to hear from me. My email system also records the date, time and page you signed up on, so I can show when and how you agreed.

When you book a call, I collect your name, your email address, the time you chose and anything you tell me in the booking form.

When you open my emails, my email system records whether an email was opened and which links were clicked. This tells me which emails are useful so I can send better ones. You can stop it by turning off images in your email app, or by unsubscribing.

When you email me or become a client, I keep our correspondence and the details I need to do the work and invoice you.

I don't collect sensitive information such as health details, and I never buy or rent mailing lists.

Why I use it, and the legal basis

What I do with itLegal basis
Send you the guide you asked for, the six-chapter series, then one practical idea a monthYour consent, which you can withdraw at any time
Arrange and hold the call you bookedTo take steps you've asked for before we agree any work
Deliver the work we agree, and invoice youTo carry out our contract
Keep business and tax recordsTo meet my legal obligations
See which emails are opened or clicked, so I can improve themMy legitimate interest in sending emails people find useful

I don't use your information for automated decisions about you, and I never sell it or share it for other people's marketing.

Who handles it for me

I use a small number of trusted services to run my business. They process your information only on my instructions, under data processing agreements:

  • systeme.io (Systeme SAS, France) runs my website, sign-up forms, booking page and emails.
  • Google Workspace (Google) runs my business email, and Google Calendar and Google Meet are used for booked calls.

I may also share information with my accountant or professional advisers where I need to, or where the law requires it.

Information sent outside the Isle of Man

systeme.io stores data in the European Union, which the Isle of Man recognises as giving adequate protection. Google may process data in the United States and elsewhere. Where that happens, Google relies on recognised safeguards such as standard contractual clauses and the EU-US Data Privacy Framework.

How long I keep it

  • Email subscribers: until you unsubscribe. If you haven't opened any of my emails for two years, I'll remove you.
  • Booked calls that don't lead to work: two years after the call.
  • Clients: six years after our work ends, because that's how long business and tax records must be kept.

When you unsubscribe, I keep only your email address on a suppression list, so I never email you again by mistake.

Your rights

Under Isle of Man data protection law (the Applied GDPR), you can ask me to:

  • give you a copy of the information I hold about you
  • correct anything that's wrong
  • delete your information
  • stop or limit how I use it, or object to it
  • send it to you, or to someone else, in a common format

To do any of these, email olivia@oliviawallis.com. I'll reply within one month, and there's no charge.

To stop my emails, click "Unsubscribe" at the bottom of any email, or simply reply and tell me.

If you're unhappy with how I've handled your information, please tell me first so I can put it right. You also have the right to complain to the Isle of Man Information Commissioner.

Cookies

My website uses a small number of cookies that it needs to work, for example to remember that you've submitted a form. These don't track you across other sites.

If I add analytics or advertising cookies in future, the site will ask for your permission first, and you can say no without affecting how the site works.

Changes to this policy

I'll update this policy if the way I use your information changes. The date at the top shows when it was last updated.
